Overview

The QAFAC Career Portal is a fully custom applicant tracking system and careers platform built for QAFAC — one of Qatar’s largest petrochemical companies. Built on HireZoot, Awsm’s own ATS product, the platform was extended with enterprise-grade modules covering the full hiring lifecycle — candidate portal, application pipeline, interview scheduling, scoring and evaluation — and integrated two-ways with QAFAC’s existing SAP HR infrastructure. The result is a seamless hiring workflow that eliminated manual data transfer between their recruitment process and core HR systems.

The Client

QAFAC (Qatar Fertiliser Company) is one of Qatar’s largest and most strategically significant petrochemical enterprises — a joint venture producing urea and methanol for global markets. With a large, structured workforce and rigorous hiring processes, QAFAC required an enterprise-grade hiring infrastructure that matched the complexity and compliance expectations of a GCC industrial giant.

The Challenge

QAFAC’s hiring process was complex by design. They needed a careers platform that didn’t just list open roles — it needed to:

  • Support a structured, multi-stage hiring workflow with approvals and evaluations
  • Integrate bidirectionally with their existing SAP HR infrastructure
  • Give candidates a professional portal experience to apply, track, and communicate
  • Give HR teams full control over the recruitment pipeline
  • Meet the data and process standards expected of a major state-adjacent enterprise

No off-the-shelf ATS could satisfy all of these requirements simultaneously. A fully custom solution — built on a proven foundation — was the only viable path.

Our Approach

We brought a unique advantage to this project: HireZoot (formerly WP Job Openings), our own ATS and job portal product with 40,000+ active users. Instead of building from zero, we extended HireZoot with a suite of enterprise modules specifically designed for QAFAC’s workflow — dramatically reducing delivery time while producing a platform tailored precisely to their requirements.

What we built

Custom Career Portal

A fully branded QAFAC career portal — clean, professional, and aligned with the organisation’s identity. Candidates browse open positions, filter by department and location, and apply directly through the portal.

Candidate Login & Profile Management

A secure candidate account system allowing applicants to:

  • Create and manage their profile
  • Track the status of all applications in real time
  • Upload and manage supporting documents
  • Communicate directly with the HR team
  • Return to saved or in-progress applications

Application Tracking Pipeline

A structured HR-side application management system — giving the recruitment team full visibility over every candidate across every stage of the hiring process.

HR-to-Candidate Communication

An integrated communication layer enabling HR teams to contact candidates, send updates, request additional information, and keep applicants informed — all within the platform.

Interview Scheduling & Management

A calendar-integrated interview scheduling system — HR teams schedule interviews, candidates receive automated invitations, and both parties manage the interview workflow from within the portal.

Scoring & Evaluation Framework

A structured evaluation system for assessing candidates — multiple reviewers can contribute scores, leave evaluation notes, and generate summary assessments. Designed to bring structure and consistency to the hiring decision process.

Two-Way SAP ERP Integration

The most technically complex component of the project. A bidirectional integration between the QAFAC career portal and their existing SAP HR infrastructure:

  • SAP → Portal: Job requisitions approved in SAP automatically populate as open positions in the career portal
  • Portal → SAP: Candidate data, application status, evaluation outcomes, and hiring decisions flow back to SAP — keeping both systems in sync without manual data entry

Why this matters

This project is proof of three things simultaneously:

01.

Product thinking

We didn’t build from scratch — we extended our own product, HireZoot, with the modules QAFAC needed. That’s the difference between an agency that builds for a brief and a studio that owns its domain.

02.

Enterprise capability

SAP integration is among the most technically demanding work in enterprise software. Bidirectional data sync between a custom web platform and a live SAP HR infrastructure requires precision, deep API knowledge, and zero tolerance for data inconsistency.

03.

Delivery trust

QAFAC is a state-adjacent Qatari enterprise with high standards for data integrity, security, and process compliance. The fact that they trusted Awsm with their core hiring infrastructure is a significant credential.
